Position Summary:

Responsible for assisting in the timely processing of payroll, including data entry, maintenance, and correspondence.

Essential Duties and Responsibilities:

  • Act as a member in the processing of payroll with responsibility for new hires, terminations, status changes, (i.e. transfers, promotions, demotions), etc. for all Retail and Corporate associates.
  • Assists in the handling of all Leave of Absences for Retail and Corporate. Coordinates the payments with the support of the Benefits Dept.   
  • Receive, review, and process all wage garnishments for Retail associates; communicate with garnishees and/or attorneys, if necessary.
  • Assist the Sr. Payroll Specialist in researching payroll problems, inquiries and discrepancies
  • Correspond and communicate with employees regarding payroll items.
  • On a monthly basis, research outstanding checks for validity.
  • Perform due diligence by sending letters to current or former associates regarding any uncashed checks. 
  • Complete Verification of Employment requests, workers comp requests and provide unemployment data to third-party vendor as required.
  • Help run trial payrolls to verify accuracy of paychecks and employee changes. 
  • Maintain employee payroll files and update each pay period.
  • Calculate and process manual checks as needed.
  • Research and resolve quarterly State Unemployment discrepancies.  Maintains worksheet of all SUI Rates by state.
  • Confirm the rates used in the calculation of payroll are up to date and accurate. 
  • Maintain a worksheet of quarterly gross compensation by location and by department for audit purposes
  • Update payroll system for taxable stock transactions and relocation expenses so they are included on the W2.
  • Compile data required for SOX testing, external audit, legal cases, Internal Audit, field audits and workers comp reporting.
  • Sort incoming correspondence, handle accordingly, or distribute to the appropriate contact.
  • Process W-2 forms & prepare W-2Cs (when required)

Job Requirements

Knowledge, skills, and abilities:

  • High School Diploma or equivalent
  • Minimum of three (3) years of experience in a payroll environment.
  • HRIS/HRM-Payroll system knowledge (Ceridian/Dayforce preferred).
  • Good analytical, verbal, written, interpersonal and computer skills required.
  • Must be able to work well in a team environment.
